Hire & Booking Terms & Conditions - True Romance Photobooth 

The True Romance Photobooth measures 199cm x460cm x246cm. It is the sole responsibility of the requestor to ensure there is sufficient space to accommodate the photobooth. The True Romance Photobooth requires 1 power outlets. Stand alone power generators are NOT included when booking True Romance, please ensure the event location has meets the required space and power requirements prior to booking. 

Hiring, Delivery and Service 

1. Delivery, set up and removal of the True Romance photobooth is included in the costs of renting, these actions will occur outside of the specified hiring period.  

1. A photobooth attendant will or will not be, dependant on the requirements of the booking, be present for the duration of the event. Staffing costs of a photobooth attendant will be calculated and included in the costs of your booking. 

1. Your date must be confirmed in writing prior to the booking or date of event

1. A deposit of $150 is required from the hirer or agent within 7 days of booking the True Romance Photobooth. 

1. Change of date or cancellations of your event date may result in loss of deposit 

1. Location of the event may be subject to a travel fee, calculated at the time of your booking. 

1. Any damages to props (internal or external), the True Romance Photobooth caravan or associated materials will be the sole responsibility of the hirer to replace or repair 

1. Overnight hire is available, in the event you require overnight hire, it is the responsibility of the hirer to obtain permission from the venue, organise for the door of the caravan to be closed and locked at the end of the event and schedule the drop off and collection times in line with the venue’s requirements. 

Please note: the door to the True Romance Photobooth locks automatically upon closure. Please do not close the door to the caravan until cessation of its use. A call out fee may be applied to the hirer if the latch is unhooked closing the door and requires unlocking during your event booking. 

Workplace Health and Safety Requirements 

To ensure the safety of all persons and equipment the following health and safety requirements must be adhered to for the duration of your use of the True Romance Photobooth. 

1. No drinks, glasses, bottles, food, or cigarettes (including e-cigarettes) are not permitted inside or in the direct vicinity [within 1m2] of the photobooth. 

1. Chairs or additional furniture items are not permitted inside the photobooth at any time. 

1. Clients and guests are not permitted to pick up other guests when inside the photobooth. This includes but is not limited to: 

1. Lifting or picking up other guests, including putting children on the shoulders of adults 

1. Piggybacking 

1. Handstands or any gymnastics of any kind 

1. Children under the age of 15 must be accompanied by an adult when in the vicinity of or when using the caravan. This includes but is not limited to: 

1. Waiting in line to use the True Romance Photobooth 

1. When standing or playing near the external props of the caravan 

1. Selecting, trying on or using any of the included photo props of the caravan 

1. At any point in time when inside the True Romance Photobooth 

1. Do not stand or lay across the photography bench when inside the True Romance Photobooth. This can cause significant damage to the structure and is unsafe for both person and property 

1. A maximum of 4 persons may be inside the caravan at any one point in time 

Termination of Use 

1. The True Romance Photobooth staff may pause or terminate the use of the photobooth at any time during the event if they consider that the guests are behaving in a way that the staff(s) deem to be dangerous to themselves or any persons, or potentially damaging to the product. 

1. The photobooth staff reserves the right to exclude a person or persons from the photobooth if the staff considers that person(s) to be grossly intoxicated, behaving in an aggressive or abusive manner to True Romance Photobooth staff or behaving in a manner that may damage True Romance Photobooths property. 

Using Our Photobooth 

Props 

1. When booking with True Romance Photobooth a variety of props for guests and clients to used are included in the cost of your booking.  

1. True Romance Photobooth reserves the right to withhold or remove all or certain props from use if they are being damaged, mistreated or continually removed from the photobooth area 

1. Children under the age of 15 must be supervised when selecting and using props 

1. No props are to be removed from the True Romance Photobooth 

1. Any persons renting the True Romance Photobooth may incur additional damage fees post event for any props that are damaged, mistreated or stolen upon completion of your event 

The Camera 

The photographic equipment of the True Romance Photobooth is at all times and under no circumstances to be touched, altered, moved or compromised for the duration of your booking. This includes but is not limited to: 

1. Touching or altering the position of the camera within the True Romance Photobooth 

1. Do not attempt to open the back of the camera or access the camera cubicle 

1. In the event of power outage, the camera will switch off and requires a manual reboot, this activity is only to be performed by True Romance Photobooth staff or attendants 

1. The person(s) accepting these terms & conditions will be financially liable for all damages or repair costs incurred by improper use or treatment of the photography equipment for the duration of your booked event 

Short Bookings and Additional Hire Time 

1. In the event that the client or their representative decide to extend the booked time throughout the duration of the event, the extended rate will be $100 per hour, payable at the beginning of the extended time period as a cash payment 

1. The caravan requires a 60min set up/pack down time, an additional $50 per staff member fee will be applied to all extensions 

1. 1- and 2-hour bookings are to commence no later than 8PM AEST. An additional fee of $50 will apply to bookings that commence later than 8PM AEST 

Parking and Travel 

1. Any parking fees for the photobooth staff or attendant’s vehicle(s) throughout the duration of delivering the photobooth service, set up, pack down or extended hire time periods are to be covered by the hiring party 

1. A travel surcharge may apply to events located more than 30 minutes normal travel time from Geelong or 30km from Melbourne. Any travel charges must be agreed to by both parties and shall be disclosed in writing by True Romance Photobooth prior to booking. 

Delays 

1. True Romance Photobooth cannot be held responsible for unforeseen delays at the venue that are outside of our control. 

Force Majeure 

True Romance Photobooth will not be liable for failing to perform under the agreement by the occurrence of any event beyond our reasonable control. This includes but is not limited to 

1. Fire 

1. Threatened or actual act of terrorism 

1. Natural disaster or extreme weather events (including but not limited to flooding, cyclones, earthquakes, events that might prevent the photobooth attendant from attending the venue or to perform his/her duties whilst at the venue) 

True Romance Photobooth will not be held liable for failure to attend a booked event or complete a booked event in the event of closure of the venue prior to or during a booked event or cancellation of a booked event by the venue or by cancellation of a booked event or closure of the venue by other parties or Government authorities, representatives, or bodies. 

Cancellation 

1. If a booking is cancelled by the hirer for any reason more than 30 days prior to the booked date, the deposit will be refunded, less a $100 administration fee.  

1. If a cancellation is made by the hirer for any reason within 14 days of the booked date, the deposit and all monies paid to that date will be forfeited 

1. If True Romance Photobooths has not received final payment for a booking at least 24 hours before the booked date, True Romance Photobooths will deem that a cancellation on behalf of the hirer and all monies paid to date will be forfeited, unless both parties have made prior mutually agreed to arrangements in writing for a late payment.  

Postponement 

If a client wishes to move a booking to another date it will be at the discretion of the True Romance Photobooth management staff to discern the new dates viability. In most cases a postponement can be arranged, however if the management deems the postponement unviable, the booking will be deemed a cancellation and the above cancellation terms will apply. 

Content Ownership / Use of Images & Privacy 

When hiring from True Romance Photobooth, the hirer gives permission for images captured at the event to be used on the True Romance Photobooth website and social media pages and for advertising purposes, unless the client requests otherwise, in writing, before the date of the event. 

True Romance Photobooth will not use images which are deemed unsuitable or inappropriate on our website, social media or for advertising and will not use any content that we consider may be personally damaging to any person(s). 

Privacy 

1. True Romance Photobooth will not sell your personal details to any third party and will take all reasonable measures to ensure that your personal details remain confidential.  

1. The caravan is fitted with surveillance and GPS tracking to ensure the safety of our materials, any information or data collected from the surveillance of the caravan will not be shared with any third parties, bodies or agencies unless in the event of damages, theft or security breaches. 

By accepting the above terms and conditions you agree to abide by the usage guidelines and requirements of hiring and using the True Romance Photobooth.
